Plan Sampling, Production and Arrival for a Southern-Hemisphere Knit Set Launch

Start from the date the collection must be ready for sale, then map the approvals and delivery milestones that lead to it. Production completion and dispatch are different from arrival.

Set the selling date and work backward

Choose the date inventory must be available to customers, then add the time needed for inbound receiving, counting, photography and merchandising. Keep the launch date separate from a factory dispatch date. Include a buffer for sample review, approved revisions and transport uncertainty; agree who updates the plan when an approval or material date moves. For a Southern-Hemisphere assortment, use the brand’s own retail calendar and climate assumptions rather than copying a Northern-Hemisphere season plan.

Approve the set as coordinated pieces

List each top and bottom as a separate product with its own measurements, yarn, stitch and finishing notes. Confirm which colours are intended to match and whether the same shade reference and yarn lot can be used for both pieces. Review the sample together for colour, hand feel, weight, silhouette and fit balance, then record each piece’s approval status. A coordinated collection photo is not a substitute for separate garment measurements or a confirmed material match.

Confirm the quantity split and material dependencies

Prepare a style-colour-size grid for every piece in the set, including planned ratios and any units that will be sold separately. Check whether one piece or colour has a different minimum, yarn stock position or development requirement. Avoid releasing one half of a set without understanding how the other half will be matched and scheduled. If a colour or quantity changes after sampling, ask the supplier to confirm the effect on both the set and launch date.

Agree milestones, shipment scope and arrival checks

Ask for a project schedule with sample submission, buyer comments, revision, production start, completion, inspection, dispatch and expected transit shown separately. Confirm the delivery destination, shipment scope, carton plan and who will report tracking or schedule changes. WTBF confirms timelines per project after details and material availability are reviewed; send the set specifications, quantity split, destination and required arrival date to discuss a realistic plan. On receipt, check the cartons and reconcile each piece, colour and size before stock is released for the launch.
